Accounts Payable Payroll Clerk I

Office: 
Honolulu

Primary Purpose:

Responsible for the Accounts Payable and Payroll functions of the Company and its affiliates.  Assists and coordinates with other accounting staff as it pertains to accounts payable disbursements.  Under the direct supervision of the Controller.

Essential Duties/Functions:

  • Accounts Payable functions:
  • Process invoices, check requests and employee expense reimbursements
  • Process cash disbursements
  • Communicate with vendors to resolve invoicing and payment discrepancies
  • Maintain vendor files
  • Maintain petty cash and postage funds
  • Prepare internal management reports
  • Other accounts payable related tasks as assigned

Payroll functions:

  • Coordinate with staff and management to ensure timely completion of timesheets
  • Generate and review timesheets and related reports for accuracy and completeness
  • Process transfer of payroll data to ADP
  • Assist with benefits administration and reporting
  • Prepare internal management reports and assist with payroll and payroll tax compliance reconciliation and reporting
  • Other payroll related tasks as assigned
Other Duties and Functions

  • General office clerical support
  • Perform other duties as assigned to meet operational needs
Qualification Requirements:

Skills/Knowledge
  • Understanding of Generally Accepted Accounting Principles (GAAP)
  • Knowledge of payroll and payroll tax laws
  • Solid mathematical, analytical, and problem-solving skills
  • Detail oriented
  • Clear and concise verbal and written communication skills and the ability to communicate effectively with people at all levels
  • Thrives working in a team environment
  • Good time management skills and ability to maintain flexibility in an environment with frequent interruptions
  • Ability to work with minimal supervision on routine assignments
  • Effectively prioritizes work assignments
  • Able to maintain confidential information
  • Experience with computerized accounting software
  • Proficiency in Word and Excel
  • Good typing skills and 10-key by touch
  • Demonstrates creativity and initiative
  • Experience working in diverse settings and demonstrated knowledge of local culture
  • Must be a Hawaii resident
Education/Trainings:
  • Associates degree in accounting, finance, or business-related field required
  • Evidence of training in accounts payable, payroll, and/or related subjects preferred
  • Equivalent education, training, and/or work experience may be considered
Experience:
  • One year experience with computerized payroll system and/or online payroll processing preferred
Working Conditions:
  • Monday through Friday; occasional evening/weekend/holiday work hours may be required to meet demand
Tools and Technology Used:
  • Windows based personal computer
  • Multi line Telephone with Intercom System
  • 10-key calculator
  • Copy Machine
  • Fax Machine

Mental Requirements:

  • Requires alertness to respond to audio and visual cues from the environment, including computers, calculators, telephone systems and other staff members
  • Ability to handle multiple tasks, projects, and schedules
  • Ability to respond quickly to rush projects, multiple deadlines or emergencies
  • Attention to detail
Physical Requirements:
  • Requires sitting in an office chair and typing on keyboard for prolonged periods
  • Ability to communicate effectively verbally, in writing and over the telephone
  • Occasionally requires bending and lifting up to 30 pounds
  • General vision, hearing, speech, walking and standing required
  • Turning, twisting, kneeling, and bending performed
